Set it up

Connect, match your fields, test, then turn on syncing.

Use an admin login that can connect apps and write records.

    Open the correct KaiCalls business

    Go to Dashboard → Settings → Connections and confirm the business selector shows the account you want to connect.

    Sign in to the other system

    Choose the system and follow its secure sign-in, API key, or webhook steps. Allow KaiCalls to create or update the records this workflow needs.

    Match fields and choose sync rules

    Match KaiCalls contact and call details to the right fields in the other system. Then choose which calls or leads should create or update a record.

    Send a controlled test

    Make a test call or test lead. Check that it lands in your tool.
  5. 5

    Enable and watch the first real sync

    Turn on the selected sync rule only after the test lands in the expected record type and fields. Review the first real delivery too.

Configuration versus live proof

Connected means authorized. A destination record means working.

  • The connection is shown under the intended KaiCalls business.
  • A controlled test creates or updates the expected record in the other system.
  • Mapped contact and call fields land in the correct destination fields.
  • The first eligible real call or lead creates a delivery result, not just a saved setup screen.

What gets sent

The connected system and the event decide what KaiCalls can write.

Automatic delivery

Calls sync when they have valid contact info and your account has edit rights.

Send this lead now

The manual send option works with fewer systems than automatic syncing. A connected system may not support every manual action.

Fields vary by system

Record types, previews, field matching, and update behavior differ. Confirm the exact result during your test.

Webhooks and automation

Webhooks and Zapier let you connect other tools when a direct link is missing.
KaiCalls can only write what the connected account allows. Finishing sign-in proves the accounts are linked. It does not prove a real record has arrived, so always complete the test.

Failure and recovery

Use the failure type to choose the next step.

Authentication or permission error

Reconnect with an account that can create or update the intended record type, then repeat the controlled test.

Rate limit, outage, or network error

Leave the connection in place and check again after the retry window. Transient delivery failures are queued for retry.

Nothing was sent

Confirm the call or lead matches a sync rule and includes the contact details the connection needs, such as a usable phone number or email.

Wrong destination fields

Correct the mapping, send a new recognizable test, and inspect the new record before relying on live sync.
