Product Catalog Explained: How Kai Quotes Your Prices Right on Every Call

Add, import, and edit products so Kai can quote prices accurately on every call. Here's what the Product Catalog does and how to set it up.

A wrong price quoted on a live call is worse than no price at all — a customer who hears one number and gets billed another doesn't call back, they leave a review. The Product Catalog is the settings page that stops that from happening: you add your products and prices once, and Kai quotes from that exact list on every call, instead of guessing.

Without a catalog, an AI receptionist has to either make something up or dodge the question, and both cost you the lead. The Product Catalog gives Kai a real source of truth to quote from, the same way a person answering the phone would glance at a price sheet before answering "how much is X?"

What the Product Catalog actually is

Open Dashboard > Business > Settings > Products and you'll see your business name, a running count of products, and an Add Product button at the top.

Anything you add here is what Kai reaches for when a caller asks "how much is X?" If the catalog is empty, Kai tells the caller he isn't sure on pricing rather than guessing a number. If a specific product is hidden, Kai simply won't bring it up.

What you can do with it

Add a product manually. Click Add Product, fill in Name (required), Description, Category, Price, and SKU, then Save. The product lands at the top of your list and is available to Kai on the very next call — no delay, no separate publish step.

Import in bulk. Click Import Products to expand the import section, which accepts three file types:

  • CSV — the cleanest option. Download the example CSV to get the exact column headers Kai expects: name, description, category, price, sku.
  • PDF — upload a printable price sheet, menu, or service list, and Kai extracts each product from it.
  • Image (JPG or PNG) — a photo of a printed menu or board works too; Kai uses vision to pull the products out.

Pick a file, click Upload & Extract, and Kai processes it and adds what it finds. You get a toast confirming how many products were added, plus a summary of what was found.

Search the catalog. The search bar filters by name, category, description, or SKU as you type, and the count next to the page title updates to match what's visible.

Manage each product individually. Every row has three icon buttons: an eye (green when active) to toggle whether Kai can mention that product — handy for seasonal items or things you're temporarily out of — a pencil to open the edit dialog with the current values pre-filled, and a trash icon to delete it permanently after a confirmation prompt.

Bulk delete. Select products with the row checkboxes or the Select all checkbox, then click the red Delete N Products button that appears. This can't be undone, so hide a product instead of deleting it if you might want it back.

On a live call, none of this is manual lookup for you — Kai reads straight from whatever is currently visible in the catalog when a caller asks about pricing.

How it relates to the Knowledge Library

The Product Catalog and the Knowledge Library are separate on purpose. The catalog holds structured, priced items — the things Kai quotes a number for. The Knowledge Library holds everything else: policies, FAQs, and general information that isn't a priced product. If it has a price and a SKU, it belongs in the catalog; if it's a fact or a policy, it belongs in the Knowledge Library.

How to set it up, step by step

  1. Open Dashboard > Business > Settings > Products.
  2. For a handful of items, click Add Product and fill in the name, description, category, price, and SKU for each one.
  3. For a full price list, click Import Products, download the example CSV if you're starting from a spreadsheet, or upload your existing PDF price sheet or a photo of your printed menu instead.
  4. Click Upload & Extract and check the confirmation toast against your actual list.
  5. Use the eye icon to hide anything seasonal or currently out of stock, rather than deleting it.
  6. Search the catalog any time to confirm a specific price is listed the way you want Kai to say it.

FAQ

What happens if I don't fill out the catalog at all? Kai will tell callers he isn't sure on pricing rather than guessing. Any product you haven't added simply isn't something Kai can quote a number for.

Can I import my existing price sheet instead of typing everything in? Yes. The Products page accepts CSV, PDF, or a JPG/PNG photo of a printed menu or board, and Kai extracts the products for you.

How do I temporarily stop Kai from mentioning a product without deleting it? Click the eye icon on that product's row. It stays in your catalog but Kai won't bring it up on calls until you toggle it back on.

Does deleting a product remove it right away? Yes, both single-product delete and bulk delete are permanent after you confirm. If there's any chance you'll want it back, hide it instead.
