How to Use the Worker Update Line

Your crew calls the same KaiCalls number your customers do, and Kai takes a quick job or site check-in — in English or Spanish — and saves it for you to review. No app to install, no group text to dig through, no missed voicemail.

What It Is

The Worker Update Line is a separate, deliberately narrow way for your field crew to reach Kai. Once you enroll a worker's phone number, Kai recognizes them when they call your business number and switches into check-in mode: it asks how the job went, collects the status, any blockers or materials needed, and whether they want you to follow up — then saves the update for your review.

It is built for owners with crews in the field — landscapers, plumbers, cleaners, contractors — who want end-of-job reports without chasing texts or voicemails.

  • Workers never get owner access. The line has exactly one job: taking a check-in. No leads, no calendar, no messages, no settings.
  • Every update is saved for your review — Kai reads them back to you when you ask, and open updates show up in your inbox briefing.
  • Safety issues (an injury, a gas leak, a hazard) are flagged and always surface first when you review.

Set It Up by Voice

You manage the whole thing by calling Kai from your admin phone — the same way you do everything else. There is nothing to configure in the dashboard first.

If several workers share one shop phone, you can enroll each of them on the same number and optionally give each a PIN — Kai asks who is calling and confirms the PIN when one is on file.

What Your Workers Experience

A worker calls your business number from their enrolled phone. Kai recognizes the number, greets them by name, and takes the check-in — short and plain, the way you'd talk to someone on a job site with gloves on.

  • Bilingual. Kai speaks English and Spanish and switches naturally if the worker switches mid-call. Updates get saved both in the worker's own words and as a plain-English summary for you.
  • Shared shop phone. If more than one worker is enrolled on the same number, Kai starts by asking who is calling and matches the spoken name against your roster. If that person has a PIN on file, Kai asks them to confirm it before continuing.
  • Quick and low-friction. Kai collects which job or site it is, the status (done, in progress, or blocked), a short summary, blockers, materials needed, and any follow-up requests — asking at most one clarifying question, then reading the summary back for a quick yes before saving.
  • Corrections welcome. If a worker calls back to fix something they reported earlier ("actually it's three-quarter inch, not half"), Kai saves it as a correction to the earlier update.
  • Safety first. If a worker mentions an injury or hazard, Kai stays calm, still takes the update, flags it as a safety issue, and tells the worker the owner is being alerted.
  • Nothing else. Workers can't check schedules, reach into your leads, or change anything about the business — Kai politely explains this line only takes job updates.

Reviewing Updates

You review check-ins the same way workers submit them: by voice. Call Kai from your admin phone and ask. Safety-flagged updates are always read first, and open (unreviewed) updates also appear in your regular inbox briefing.

Updates are saved for your review inside KaiCalls. They are not pushed to a CRM or field-service tool — if a worker asks, Kai says the update is saved for the owner, never that it synced somewhere it didn't.

The Job List

Optionally, keep a lightweight list of open jobs so check-ins attach to the right one. This is not a ticketing system — no assignments, no scheduling — just short names Kai matches a worker's spoken job reference against ("the one on Maple" finds "Maple Street patio").

Matching is best-effort and never gets in the way: a check-in always saves on the worker's free-text description, whether or not it matches an open job. Keep job names short and recognizable — "Henderson backyard," not a full address.

The Reviewer Role

Have an office manager who should keep an eye on the field without full owner access? Add them as a reviewer. When they call your number, Kai gives them a read-only line: they can hear the inbox and worker updates, but they can't change settings, touch billing, or edit leads.

FAQ

  • Which number do workers call? Do I need a second line? No — workers call your existing KaiCalls number. Kai tells owners, reviewers, workers, and customers apart by the phone number they call from.
  • A worker calls and gets the normal customer greeting. Their caller ID isn't on the roster. Call Kai and say "who's on the worker line?" to check, then re-add them with the number they actually call from.
  • Can a worker see my leads or calendar? No. The line offers exactly one action — saving a check-in — and the server enforces that boundary on every call, not just in the greeting.
  • What if a worker calls in the same update twice? Duplicate submissions of the same check-in are deduplicated, so a retry or a repeated confirmation never creates two records.
