New Call Completed (Trigger)
Fires right after a call ends. Includes duration, recording link, transcript, and summary.
New Lead Captured (Trigger)
Fires when Kai successfully extracts a caller name and phone number.
Create Contact (Action)
Allows other apps (like Facebook Lead Ads or Typeform) to create contacts in KaiCalls.
Send SMS (Action)
Triggers a text message to a customer from your registered business line.

How to connect Zapier.
Link KaiCalls in Zapier in four simple steps.

Get your API Key from KaiCalls
In KaiCalls, go to Connections > Zapier. Copy your Secret API Key. - 2
Open Zapier and create a Zap
In your Zapier dashboard, click Create Zap. Search for the "KaiCalls" app. - 3
Paste your API Key
When Zapier asks for authentication, paste your KaiCalls Secret API Key and click Continue. - 4
Pick your trigger and test
Choose "New Call Completed", click Test Trigger, and select a recent sample call.
Verification
How to prove it worked.
Run a test Zap and check your destination app.
- In your Zap, connect an action step (such as Send message in Slack or Add row in Google Sheets).
- Click Test step in Zapier: Confirm test data appears in your destination app.
- Turn your Zap on.
- Place a live test call to your KaiCalls phone number.
- Open Zapier > Zap History: Confirm the Zap ran and finished with a Success status.
Troubleshooting
Fix common Zapier issues.
Test trigger finds no data
Make at least one test call to your KaiCalls phone number first so your account has call history for Zapier to pull.
Invalid API Key error
Regenerate your API key on the Connections page in KaiCalls and update the connection in Zapier.
Zap runs multiple times
Ensure you only have one active Zap listening to the New Call Completed trigger for the same destination.
Missing transcript field
Short calls under 5 seconds may not have a transcript. Use Zapier filter rules to ignore very short calls.
Leaving
How to disconnect Zapier.
Turn off your Zaps in your Zapier account or click Revoke Key on the Zapier card in KaiCalls. Any external rows, messages, or files created by previous Zap runs remain intact.
