Answers class questions
Callers ask when yoga or spin starts. Kai checks your live Mindbody schedule and reads class times and teachers.
Sends booking links
When a caller wants to book, Kai texts them a direct mobile link to your studio checkout or app booking screen.
Captures new client leads
Kai collects the caller name, phone number, and goals. He creates an inquiry note in KaiCalls and alerts your team.
Explains membership rates
Kai answers questions about drop-in passes, monthly packs, and intro offers from your studio rules.
Prerequisites
Before you connect.
1. Mindbody Site ID
Find your numeric Site ID (also called Studio ID) at the top of your Mindbody screen.
2. API account permission
Ensure your Mindbody account has rights to approve third-party API links.
Setup
How to connect Mindbody.
Link your studio in four quick steps.

Open Connections in KaiCalls
Go to Connections > Mindbody. - 2
Enter your Site ID
Enter your numeric Mindbody Site ID and your location name. - 3
Authorize API link
Follow the link to Mindbody to approve the KaiCalls API connection. - 4
Save and verify
Return to KaiCalls. You will see a green Connected badge once verified.
Verification
How to prove it worked.
Call your number and ask about a class.
- Check your Mindbody schedule for a class happening today or tomorrow.
- Call your KaiCalls number from a personal phone.
- Ask Kai: "What classes do you have tomorrow morning?"
- Listen as Kai checks your schedule and states the class name and time.
- Confirm the inquiry shows in your KaiCalls call log.
Troubleshooting
Fix common Mindbody issues.
Site ID not recognized
Check your Site ID in the Mindbody dashboard footer. Enter only digits without dashes or letters.
Schedule not updating
Class schedules refresh every hour. If you changed a teacher last minute, give the sync a few minutes.
Multiple studio locations
If you have multiple locations under one Site ID, select your primary studio in the location dropdown.
Permission error
Log in to Mindbody as the owner or master admin to grant third-party partner permissions.
Leaving
How to disconnect Mindbody.
Click Disconnect on the Mindbody card in KaiCalls. Kai will stop reading your schedule. Your Mindbody clients, passes, and schedule are not changed.
