Prerequisites
Before you connect.
1. Airtable base and table ready
Have a table ready with columns for Name (Single line text), Phone (Phone number), and Notes (Long text).
2. Personal access token
Generate an access token in your Airtable account with data.records:write scope.
Setup
How to connect Airtable.
Link your base in four quick steps.

Open Connections in KaiCalls
Go to Connections > Airtable. - 2
Paste your access token
Paste your Airtable personal access token and click Verify Token. - 3
Select your Base and Table
Kai loads your bases. Pick the base and table where calls should be saved. - 4
Map your fields and save
Match Caller Name, Phone, and Summary to your columns. Click Save Connection.
Verification
How to prove it worked.
Run a test call and check your table.
- Place a test call to your KaiCalls number from a mobile phone.
- Give a test name like "Diana Prince" and ask a short question.
- Wait for the call to end, then open your Airtable base.
- Verify a new row appears with "Diana Prince" and her phone number.
- Confirm the Notes column holds the call recap written by Kai.
Troubleshooting
Fix common Airtable issues.
Invalid token error
Ensure your token has both data.records:read and data.records:write scopes enabled in Airtable.
Table fields not saving
Check field types. If a column is Single select, make sure the values match or change the column to Single line text.
Row appears blank
Review your field mapping on the Airtable card in KaiCalls to confirm columns are paired correctly.
Base not in dropdown
When creating the token in Airtable, make sure you granted access to All current and future bases in this workspace.
Leaving
How to disconnect Airtable.
Click Disconnect on the Airtable card in KaiCalls. Kai will stop sending rows. All existing rows in your Airtable base remain untouched.
