How to Set Up a Desk Phone

Got a desk phone from us? Add it in your dashboard, plug it in, and it is ready in a few minutes.

What you need

  • Your desk phone and its power cord.
  • An Ethernet cable.
  • A free port on your router or network switch.
  • Your office address, confirmed in your dashboard. 911 uses it to find your phones.

Add the phone

  1. Flip the phone over. Find the sticker. Next to MAC you will see 12 letters and numbers, like 00:04:13:AA:BB:CC. It is also on the box.
  2. Go to Phone in your dashboard. Find Desk phones.
  3. Click Add a phone.
  4. Type a name, like "Front Desk". Type the MAC address. Click Add phone.

Plug it in

  1. Plug one end of the Ethernet cable into the phone. Plug the other end into your router or switch.
  2. Plug in the power cord. Skip this if your network powers the phone.
  3. Wait up to 5 minutes. The phone sets itself up. It may restart once or twice. That is normal.
  4. The status in your dashboard changes from Waiting for the phone to Ready.

Try it

  1. Call your business number from your cell.
  2. The desk phone rings, along with your other team phones.
  3. Pick up. Or do not. If no one answers, Kai does.

If it does not work

  • Still says Waiting after 10 minutes. Check that the Ethernet cable clicks in on both ends. Check the cable light on the router. Then click the refresh button next to the phone.
  • "That doesn't look like a MAC address." A MAC address is exactly 12 letters and numbers, using 0 to 9 and A to F. Look at the sticker again.
  • "Confirm the office address first." Go to Phone System > Numbers and confirm your address. Then add the phone again.
  • Wrong phone, or you moved it? Click the trash can next to it to remove it. Then add it again.
