KaiCalls

RingCentral and KaiCalls

Keep the number people know. Cover calls you miss.

If your team already uses RingCentral, start with the calls that slip through: unanswered calls and calls outside your working hours. Keep the phone setup you rely on and decide when a call should reach your KaiCalls secretary.

A phone system and an answering layer do different jobs.

Use the setup you need today. Adding answering coverage does not replace your team's existing phone workflow.

Keep RingCentral on its own

Your team answers and uses the routing or voicemail options available in its account. If that already covers the calls you care about, there is no need to add another service.

Add KaiCalls for selected calls

Calls routed to your Kai number reach your secretary. Use a supported no-answer or after-hours rule when you want coverage around your existing routine. RingCentral and KaiCalls remain separate services; check each account's terms and charges.

Confirm where the call goes before and after your phones ring.

RingCentral documents an external-number option for missed calls, plus separate working-hours and after-hours settings. Your available controls depend on the account and routing path.

  1. Identify whether callers reach a user extension, the main company number, or a call queue.
  2. Confirm the relevant rule with your administrator. For missed-call coverage, keep your own phones first and use an available no-answer destination. Review the after-hours schedule separately; a 24/7 working schedule does not create a separate after-hours period.
  3. Use the existing VoIP guide for the next setup step. Do not replace a missing no-answer option with forward-all unless you intentionally want every call routed away.

Forwarding is optional. You can also publish your Kai number directly. Keep your current routing until you have confirmed where calls should go.

What to check before adding answering coverage.

Find the right forwarding rule before changing your existing phone routine.

Do I need to replace RingCentral?

No. If your existing number and team phone setup work for you, you can keep them. KaiCalls can answer calls routed to your Kai number. You still need to confirm and configure the appropriate forwarding rule in your RingCentral account.

Will my own phone still ring?

That depends on the rule you choose. A no-answer path lets your phones ring before an unanswered call moves on. Forward all calls bypasses that routine. Check both your working-hours and after-hours rules before changing anything.

Does every RingCentral account have the same setup?

Do not assume so. Confirm your plan, permissions, number type, and available routing options with RingCentral. A user extension, main company number, and call queue can follow different paths. Ask your administrator to confirm which rule applies to your number before making a change.

What if I cannot find an external no-answer destination?

Keep your current routing in place. Ask your RingCentral administrator or support which rule controls that number and whether the desired destination is supported. Forward all calls is not an equivalent fallback when you want to answer first.

Start with the calls you want covered.

Keep your existing answering routine, confirm the account's routing options, and choose a KaiCalls plan if the additional coverage fits. Check your existing RingCentral plan for forwarding options and any charges before choosing coverage.

Transfer Context

Warm transfers without the dashboard mess

KaiCalls is built for teams that still want a human in the loop when the call matters. The AI captures context first, then routes the caller with a concise briefing instead of forcing staff to open a console mid-conversation.

Caller asks for a person
Emergency or high-value intent
Returning caller with prior context
Owner-defined routing rule

Ring the team first

KaiCalls can ring your team before the AI takes over, so live staff still get first chance at urgent calls.

Brief before handoff

The transfer includes who is calling, what they need, and why the call should move to a human now.

Capture the full trail

Each call can produce a transcript, structured lead fields, score, owner alert, and CRM or webhook handoff.
